Webex Scheduler for Microsoft 365 (Mac):

In our ongoing efforts to simplify and to provide a secure computing environment, the Webex Scheduler for M365 makes it easy for you to schedule, start, and join Webex meetings (including Personal Meeting Room) directly from Microsoft Outlook. While like our existing Webex Productivity Tools, the Webex Scheduler offers the following benefits:

  • Reduced possibility of Outlook crashes – Unlike Webex Productivity Tools which is an injection-based plugin, the Webex Scheduler is a web based add-in which doesn’t add any code to the Outlook client itself which significantly reduces the possibility of causing Outlook to crash.

  • Enhanced Security – Web add-ins are cloud based and conform to strict web security and privacy mandates. In comparison, injection-based plugins are not as secure since they make changes directly to the user registry.

  • Cross Platform Support – The same Outlook Web add-in and business logic will work across desktop apps (Mac and Windows), the web (includes Outlook.com), and mobile (iOS and Android)

  • Seamless mobile integration for online meetings – This offers the same seamless experience when creating and joining meetings from a mobile device.




Getting Started:


  1. Open your calendar in the Outlook Application and select “Meeting” followed by “Webex Preferences” (you may have to extend your window to the right to see "Webex Preferences" gear icon)

  2. You will need to first configure the Webex Scheduler for use. This is a “one-time” only event

  3. You will be prompted with the “Getting Started” splash screen

  4. Choose “Get Started”

  5. When prompted for which Webex site to use, choose aon.webex.com

  6. Choose “Next”

  7. Enter your Aon email address and click “Next”

  8. Enter your Aon email address and aon password and choose “Sign In”

  9. You should now be connected and ready to use the Webex Scheduler for Microsoft 365. Options can be adjusted from your personal preferences below

  10. To create a new Webex Meeting, go to your calendar and choose “Meeting”

  11. Select “Add Webex Meeting”

  12. A Webex Meeting will then be added to your invitation. Populate the required fields (attendees, date, time) and click “Send”
